Ask any small practice when their Tally setup hurts and the answer is the same week every month, and the same fortnight every quarter. GST filing is when three people need the same books at once, and a Tally that lives on one PC turns into a queue behind one chair.
What the queue costs
The accountant needs to reconcile GSTR-2B against purchase entries. The article is still entering last week's vouchers. The partner wants to review before anything is filed. On one PC, those three jobs happen one after another, which means the filing happens late at night or the review gets skipped. Neither is good.
What a hosted server changes
With Tally on a server and a login per person, the three jobs happen at the same time in the same company file. Tally's own locking stops two people editing one voucher; everything else runs in parallel. The partner can review from home or from a client's office. The CA, if external, logs in as well instead of waiting for a backup to be emailed.
Nothing about Tally changes. The reports, the GST returns, the shortcuts are all the ones you know. The difference is where the program runs and how many people can reach it at once.
A month before the deadline
Licence. Confirm you are on Tally Gold. Silver is one user at a time and no server changes that.
Logins. One Windows login per person, including the CA and anyone covering leave. Beyond two simultaneous users, RDS licences; we add them.
Tally users. A Tally user per person in each company with the right role. Read-only for the reviewer; data entry for the article.
Backups. The daily add-on on, with the last 48 hours retained. A manual Tally backup taken and verified.
A rehearsal. Three people log in together and work in the same company for half an hour. Fix whatever is awkward now, not on filing day.
On filing day
No Tally updates, no server updates, no new TDLs. Take a manual backup first thing. Work in parallel. If something looks wrong, stop and check the backup exists before touching anything. Boring is the goal.
Afterwards
Review what slowed people down and fix it before the next cycle: a report that should be a shortcut, a user who needed a permission they did not have, a printer that was not redirected. Most teams find the second GST season on a server is the first one they do not remember.
Questions we get asked
Will the server be slow with three people on it? Not on 8 GB for a small firm. Tally does the work on the server; only the screen travels.
What if the office internet fails on filing day? Work from phone hotspots. The server and the data are not on the office connection.
Can the CA see only their clients? Yes. A Windows login plus Tally users limited to the relevant companies.
Do we need the server all year? Most firms keep it; the monthly cost is small against a month of queueing. Some scale down to a smaller plan between seasons, which is a resize, not a reinstall.
Is there a risk to the data moving to a server? The data is on a Tier IV facility with an off-server backup add-on, per-user logins and DDoS scrubbing. Compared with one PC and a pen drive, the risk goes down.
